This guide explains how to use Vektorio’s Task functionality to manage tasks in a project. The guide covers how to create, edit, comment on, track, and assign tasks to a location. It also describes how to use the task overview, filter tasks, export tasks to files, and manage email notifications.
The Task functionality is used to manage project tasks in Vektorio. Tasks can be used, for example, to manage observations, issues, clashes, or other items that need to be tracked within a project.
The Task tool can be found in the left-hand sidebar in Vektorio.
Creating a new task
- Select Task from the left-hand sidebar.
- Create a new task in one of the following ways:
- click the Create task button at the top
- or right-click in the map/model view and select Create task
- Enter a title for the task.
Select the task type.
The task type can be, for example:
- Task
- Clash
- Issue
Define the task status.
The available statuses are:
- New
- In progress
- Waiting
- Done
- Closed
Set the task priority.
The priority options are:
- Highest
- High
- Medium
- Low
- Lowest
Add an assignee or assignees to the task.
The assignee can be:
- one user
- multiple users
- a user group
- all people in the project
The assignee is the person or group responsible for completing the task.
Add followers if needed.
Followers are users who can see the task and follow its progress.
Note that not all project users automatically see all tasks. Task visibility is managed through assignees and followers.
- Set a due date for the task if needed.
Add tags to the task if needed.
Tags can later be used to filter and group tasks.
Write a more detailed description for the task.
The description can include, for example:
- what the task concerns
- which observation the task relates to
- any additional information or instructions
Check the task location.
If you created the task by right-clicking from the shortcut menu, the location is saved automatically based on the selected point.
- If needed, change the task location by clicking Edit and selecting the correct location in the map interface.
Check the view that will be saved for the task.
When a task is created, the current view is automatically saved to the task. You can also add new views to the task later.
- Create the task by clicking the Create task button in the lower-right corner.
Adding attachments and images to a task
Once a task has been created, you can add images and attachments to it.
- Open the task you want.
Add an image or attachment to the task.
Attachments can be added, for example:
- from your computer
- from the mobile interface
- as a photo taken directly on site, if you are using Vektorio on a mobile device
- Saved attachments are shown in the task.
Commenting on a task
Comments can be added to a task for discussion, additional information, or progress updates.
- Open the task.
- Go to the Comments tab.
- Write a comment. You can also add an image or document to the comment.
- Send the comment.
Comments are shown in the task to users who have permission to view that task.
Viewing task history
Task events can be tracked on the History tab.
- Open the task.
- Go to the History tab.
- Review what has happened to the task.
The history can be used to track, for example, changes made to the task and its progress.
Focus a task to a location
A task can be assigned to a location on the map or in the model view.
- Open the task.
- Select the location-related function at the top of the task.
Exporting, sharing, or deleting an individual task
Additional actions for an individual task can be found in the task’s three-dot menu.
- Open the task.
- Click the task’s three-dot menu.
- Select the action you want:
- export the task as an Excel file
- export the task as a PDF file
- copy the task link
- delete the task
Only delete a task if you are sure it is no longer needed.
Task overview
Viewing tasks in the list view
The Task view in the left-hand sidebar shows an overview of all project tasks that the user has permission to view.
The overview shows task information such as:
- status
- ID
- title
- assignees
- created by
- due date
- priority
- LAvels
- latest update time
A color code is shown on the left side of the task status, making it easy to quickly identify the task status.
Filtering with the right mouse button
Tasks can be filtered based on different properties.
- Open the Task overview.
- Find the property in the list that you want to use for filtering tasks.
- Right-click that property.
- Select filtering based on that value.
After this, the view only shows tasks that match the selected filter.
Removing a filter
- Check the active filters shown at the top of the view.
- Remove a filter by clicking the X or cross button next to the filter value.
When the filter is removed, the task list returns to showing tasks without that specific restriction.
Exporting all tasks as an Excel or PDF file
All tasks shown in the overview can be exported to a file.
- Open the Task overview.
- Click the three-dot menu in the view.
- Select the export format:
- Excel
Save the generated file.
Showing tasks on the map
Tasks can be shown in the map view.
- Open the Task overview.
- Click the map icon in the upper-right corner.
- The project tasks are displayed on the map.
Tasks are shown on the map as color-coded circles. Click a circle to open an individual task and view its details.
Managing email notifications
Task notifications
Email notifications can be sent for tasks assigned to the user. Notifications are sent every three minutes if there are new ones.
Notifications can be managed both per project and per user.
Defining project-specific notification settings
- Go to the Settings tab.
- Define whether you want to receive email notifications from this project.
Select which tasks you want to receive notifications about.
The options may include, for example:
- all tasks in this project
- tasks that you follow or that have been assigned to you
- only tasks assigned to you
- You can also choose whether you want to receive notifications about comments.
Checking the user’s email notification settings
For email notifications to work, email notifications must be enabled in the user’s own settings.
- Open user settings.
- Go to Notifications.
- Check Email notifications.
- Make sure email notifications are enabled.
This setting determines whether Vektorio is allowed to send email notifications to the user.
Good to know
Task visibility is not automatically based on the full project user list. A user can see a task if they have permission to view it, for example as an assignee or follower.
It is recommended to use task tags consistently, as they help with filtering and managing tasks efficiently.
